OptiSoft PatientPro ("OptiSoft", "we", "us", or "our") is an optical shop and patient management platform built for opticians, optical retail stores and eye-care businesses across India. This Policy applies to our website (pms.optisoftvision.in), our web application (papp.optisoftvision.in), and any related services (together, the "Service").

By visiting our website, signing up for a free trial, or using the Service, you agree to the collection and use of information as described in this Policy. If you are a store owner or staff member using OptiSoft to manage your own patients' records, you act as the data controller for that patient information, and we act as your data processor — we only process it on your behalf and as instructed by you.

2.Information we collect

We collect information in the following ways:

a) Information you give us

• Account details such as your name, store name, email address, phone number and password when you sign up.
• Billing and subscription details when you purchase a Basic or Advance plan (monthly or yearly).
• Any information you share with us via WhatsApp, email, contact forms or support conversations.

b) Information generated while using the Service

• Patient records, eye prescriptions, appointment schedules, billing and inventory data that you or your staff enter into the software.
• Usage data such as login times, pages visited, and features used, to help us improve the product.

c) Automatically collected information

• Device and browser type, IP address, and approximate location, collected automatically when you visit our website.
• Cookies and similar technologies as described in Section 7.

3.How we use information

We use the information we collect to:

• Provide, operate and maintain the OptiSoft PatientPro platform for your store.
• Set up and manage your account, subscription plan and billing.
• Respond to enquiries received through our website, WhatsApp chat or support channels.
• Send important service updates, renewal reminders and, where you have opted in, product news.
• Monitor, troubleshoot and improve the performance, security and features of the Service.
• Comply with applicable legal and regulatory obligations in India.

4.Patient & prescription data

OptiSoft PatientPro is built to help optical stores securely record and manage sensitive information such as patient names, contact details, eye prescriptions and purchase history.

• This patient data belongs to your store. We do not use it for our own marketing, and we do not sell it to third parties.
• Access to patient records within the software is restricted to the store's authorised staff accounts.
• It remains your responsibility, as the optical store, to obtain any consent from your patients that is required under applicable law before entering their details into the Service.
• We may access store data only to provide support, fix technical issues, or when required by law.

5.Data storage & security

We take reasonable administrative, technical and physical measures designed to protect the data stored on OptiSoft PatientPro, including:

• Encrypted transmission of data between your browser and our servers (HTTPS).
• Role-based access controls so staff only see the information relevant to their role.
• Regular backups to help prevent accidental loss of your store and patient data.

While we work hard to protect your information, no method of transmission or electronic storage is 100% secure, and we cannot guarantee absolute security.

6.Sharing of information

We do not sell your personal information or your patients' data. We may share information only in the following limited situations:

10.Children's data

OptiSoft PatientPro is intended for use by optical store owners and staff and is not directed at children. We do not knowingly collect personal information directly from children. Patient records for minors that are entered by an optical store are handled as part of that store's patient data, under the store's responsibility, as described in Section 4.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. We will post the revised policy on this page with an updated "Last updated" date. We encourage you to review this page periodically.
